Privacy Policy
Last updated: July 28, 2026
This Privacy Policy explains how Speakly Notes ("we", "the app", "the Service") collects, uses, and shares information when you use our website and service.
1. Who we are
Speakly Notes is operated by an independent individual (sole operator), not a registered company. For any privacy question or request, contact:
speaklynotessupport@gmail.com
For our legal notice (name and postal address, as required by German law), see our Impressum.
2. What information we collect
- Account information: email address, first name, and last name, provided when you sign in.
- Video/audio links you submit: the YouTube or Instagram URL you paste, and optionally a start/end time range.
- Transcribed and translated text: generated temporarily to show you the result.
- Payment information: we never see or store your card details. Payments are processed entirely by Stripe, our payment provider. We only receive confirmation that a payment was successful.
- Technical data: IP address, used briefly and automatically to prevent abuse (rate limiting). We do not use IP addresses for tracking or profiling.
3. How we use your information
- To provide the transcription and translation service you request.
- To let you sign in and keep your paid features active across devices.
- To process payments and prevent fraud or abuse of the Service.
- To respond to support requests you send us.
We do not sell your personal data, and we do not use your data for advertising.
4. How long we keep your data
- Audio/video files: downloaded temporarily to process your request, and automatically and permanently deleted from our server immediately after transcription is complete (typically within minutes). We do not keep a copy of your video or audio.
- Transcribed/translated text: held only in temporary server memory to deliver it to you, and is not permanently stored in our database. Once you close or navigate away, it is not retrievable by us.
- Account data (email, name, unlock status): kept until you request deletion (see Section 6) or your account has been inactive for an extended period.
5. Third parties we share data with
We use a small number of trusted service providers to operate Speakly Notes:
- Stripe — payment processing. See Stripe's Privacy Policy.
- Google Translate — used to generate translations of your transcribed text. The text you choose to translate is sent to Google's translation service for that purpose.
- YouTube / Instagram (Meta) — we retrieve publicly available video/audio content from the link you provide; we do not share your personal account data with these platforms.
- Our hosting provider, which runs the server infrastructure.
We do not sell or rent your personal information to third parties for marketing purposes.
6. Your rights, and how to delete your data
You can request deletion of your account and associated data at any time by emailing speaklynotessupport@gmail.com with the subject "Delete my data". We will delete your account record (email, name, unlock status) within a reasonable time, and confirm by email once done.
If you are located in the European Economic Area (EEA), UK, or Switzerland, you additionally have the right to:
- Request a copy of the personal data we hold about you (right of access).
- Request correction of inaccurate data.
- Request erasure of your data ("right to be forgotten").
- Object to or restrict certain processing.
- Lodge a complaint with your local data protection authority.
Legal basis for processing (GDPR): we process your account data based on our contract with you (providing the Service you signed up for) and, for payment records, our legal obligation to keep basic transaction records. We process video/audio you submit based on your consent, given each time you submit a link.
7. Cookies and local storage
We use your browser's local storage (not tracking cookies) to keep you signed in and remember your language preference on your device. This data stays on your device and is not used for advertising or cross-site tracking.
8. International data transfers
Some of our service providers (such as Stripe and Google) may process data outside your country, including in the United States. Where this happens, these providers maintain their own safeguards for international transfers (such as Standard Contractual Clauses).
9. Children's privacy
Speakly Notes is not directed at children under 16, and we do not knowingly collect personal data from children. If you believe a child has provided us data, contact us and we will delete it.
10. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
